Events & Communications Officer – Internship

ECG, the Association of European Vehicle Logistics, is a leading non-profit organisation representing the interests of the European vehicle logistics sector. Since 1997, ECG represents over 200 member companies and partners, ECG advocates for the interests of businesses ranging from family-owned SMEs to multinational corporations. As the major champion of the European vehicle logistics sector, ECG engages at the EU level across all transport modes, road, rail, maritime, and fluvial.

Our members deliver comprehensive transport, distribution, storage, preparation, and post-production services to manufacturers, importers, car rental companies, and vehicle leasing operators throughout the EU and beyond, including Norway, Switzerland, the United Kingdom, and Turkey. The association’s members operate an extensive fleet, including over 470 car-carrying ships, 14,000 purpose-built railway wagons, 23 river barges, and more than 26,000 road transporters.

Role Purpose

The Events & Communications Officer supports the execution of ECG’s communications and events activities, ensuring professional delivery, consistent branding, and smooth operational workflows. The role focuses on hands-on implementation of digital communications and event-related tasks.

Key Responsibilities

1. Digital & Social Media Communications

  • Draft and publish LinkedIn posts following ECG’s tone of voice and messaging guidelines
  • Create basic visual assets using existing templates (banners, post visuals, simple graphics)
  • Schedule posts and monitor engagement (likes, comments, impressions)
  • Respond to comments, mentions, and stakeholder messages as first-line support
  • Maintain a content calendar and support reporting on performance metrics

2. Newsletter & Email Communications

  • Support planning of newsletter content under strategic guidance
  • Draft and format newsletter text and layouts in Mailchimp
  • Manage mailing lists, segmentation, and GDPR compliance
  • Perform test sends, troubleshoot formatting issues, and ensure timely delivery
  • Track open and click rates and report results

3. Website & Editorial Support

  • Upload news items, event summaries, and updates to the ECG website
  • Edit pages, fix formatting issues, and maintain content libraries
  • Publish submitted texts, speaker bios, agendas, and programme descriptions
  • Liaise with the website provider or IT support for basic technical issues

4. Event Coordination & Operational Support

  • Coordinate communications materials for ECG events and conferences
  • Prepare participant lists, badges, signage, and printed materials
  • Support event registrations and participant communications
  • Liaise with suppliers (printers, venues, AV, design partners)
  • Provide on-site support during events, including:
    • Live posts and visibility content
    • Photography coordination
  • Upload, organise, and archive event photos and materials

5. Branding & Visual Consistency

  • Apply ECG branding consistently across events, communications, and materials
  • Use approved templates for presentations, banners, roll-ups, and digital assets
  • Flag inconsistencies and support continuous improvement of visual standards

6. Media & Stakeholder Support

  • Maintain and update the media contact list
  • Support media outreach activities and press communications
  • Assist with sponsorship-related communications and visibility materials

7. Administrative & Internal Support

  • Handle day-to-day communications and event-related requests
  • Maintain organised archives of files, photos, and communication assets
  • Support data tracking and reporting for communications and events

Skills & Competencies

Essential

  • Recently completed a degree in Communication, International Relations, Event Management, or a related field.
  • Strong written communication skills in English
  • Organisational skills with attention to detail
  • Ability to manage multiple tasks and deadlines
  • Digital mindset with interest in communications and events
  • Confidence working independently within defined workflows

Desirable

  • Experience with LinkedIn, Mailchimp, or CMS platforms
  • Basic graphic design skills (Canva, Adobe or similar)
  • Experience supporting events or conferences

Role Characteristics

  • Works closely with Communications & Events Manager, Project Managers and Administration Officer

Project Manager (m/f/d) – Finished Vehicle Logistics

• Leading and coordinating ECG working groups and project initiatives
• Managing projects from concept to implementation, including timelines and deliverables
• Planning, organizing and moderating meetings, workshops and industry events
• Coordinating with internal and external stakeholders across the FVL value chain
• Supporting knowledge exchange and best-practice sharing within the association
• Representing ECG in meetings, events and industry forums
• Frequent travel across Europe

Skills & Competencies

• Proven operational experience in Finished Vehicle Logistics
• Solid background in project management
• Experience in leading or contributing to working groups or cross-company initiatives
• Strong organizational and coordination skills
• Excellent communication skills; open, friendly and professional manner
• Comfortable working in an international, multicultural environment
• High willingness to travel
• Fluency in English (spoken and written); additional languages are a plus
